Room Application

Important: As HTU Graz, we are solely responsible for approving events organized by Student Representatives Units, departments, and other units of HTU. For other student events, TU4U provides a separate guide outlining all procedures (TU login required); organizers both within and outside TU Graz may also contact Mag. Patricia Götz of the TU Event Service directly.

Procedure

The following procedure applies to room requests (including outdoor areas on campus):

  • Check the room’s calendar (TUGonline) to see if it is available during the desired time period.
    Important! Be sure to log in to the portal and enable the display of scheduled events, etc., in the calendar settings.
  • Fill out this form, sign it, scan it (or digitally sign it), and send it to raumansuchen@htugraz.at.
  • If the request is in order (no conflicts with other events, financial matters clarified, etc.), the room reservation request will be confirmed by the HTU and forwarded to the Buildings and Technical Support (GuT) department. 
    • Requests must be submitted exclusively through the HTU (stamp); do not submit them directly to the Buildings and Technology department yourself.
    • To ensure timely processing, the room request should be submitted at least three weeks before the planned event date.
    • Once the room request has been confirmed by the HTU, it will be entered into the HTU event calendar.
  • The applicant will receive notification as soon as the event has been approved by the Buildings and Technical Support department.
  • Requirements set by the Buildings and Technical Support department must be met—the department for Organization from HTU is happy to assist with any questions.

  • Art und Thema: Name of the event
  • Typ:
    • geschlossene Veranstaltung: small internal events (game nights, lectures, internal celebrations, etc.)
    • öffentliche Veranstaltungen: Student parties that are advertised publicly—a notice or registration with the City of Graz is required
    • Großveranstaltungen: only after consultation with the HTU Chair and the Office of Buildings and Technical Support (e.g., TU Fest)
  • Personen: Number of people. Please note the maximum room capacity!
  • Zeiten von/bis: Preparation and cleanup do not count toward the times specified by the GuT in the guidelines for campus events
  • Raum: Please enter the TUGRAZonline room number here
  • Verantwortliche/r Veranstaltungsleiter/in: Enter your department or Student Representatives Unit here
  • Name der/des Antragstellenden: Please enter the name of the person actually responsible (i.e., a natural person) 

The form can be filled out in English, but unfortunately it is only provided in German.
