Events

All events organized by HTU Graz are handled by the department for financial affairs, which is responsible for approving them and ensuring proper accounting.  Examples of such events include: information evenings or breakfasts, movie nights, mulled wine and spritz stands, seminars, barbecues, etc.

In many cases, an awareness strategy must also be considered; for more information, see Awareness.

For events at TU, you will usually need to submit a room reservation request. You can find the form and instructions under the “Room Reservations (Raumansuchen)” section.

As with all other expenditures (legal transactions), the economic principles of the HSG 2014 apply:

  • Purposeful
  • Economical
  • Cost-effective
  • Ease of monitoring

And our self-imposed principle:

  • Sustainability

In addition to the principles outlined above, the following limits must be observed:

  • For amounts under 100 euros, the cost center manager may make the decision alone (however, the department for financial affairs retains the right to reject the expenditure!).
  • For amounts of 100 euros or more, a project proposal must be submitted. The typical processing time until approval is approximately one week.
  • For amounts of 500 euros or more, three additional comparable quotes must be obtained.
  • For amounts of 6,000 euros or more, the Committee on Economic Affairs (Wirtschaftsausschuss) must approve the expenditure. The lead time is several weeks!
  • For amounts of 12,000 euros or more, the University Council (Universitätsvertretung) must approve the expenditure at a Council meeting. These meetings usually take place only twice per semester.

Please be mindful of the deadlines, especially for larger events, and contact the department for financial affairs or the chairperson well in advance.

For events, a clear cost estimate must always be included with the project proposal.
