Awareness

HTU is committed to making the university a discrimination-free environment where all students can feel comfortable. To achieve this goal, we implement a wide-ranging awareness program, among other initiatives. The following guidelines apply to events and are also outlined in the Awareness Events Cheatsheet (only in German).

What do the statutes say?

For events with 100 or more attendees, events where alcohol is sold, or events where alcohol consumption does not take place within the hospitality industry, an awareness plan must be submitted. This plan must be sent to awareness@htugraz.at at least two weeks prior to the event and approved by the working group. If approval has not been granted one week prior to the event, the organizer must submit the awareness concept directly to the chair.

Guidelines

100 people or more

with Alcohol

  • Event size: min. per shift 
    • 100 to 300: 2 Awareness persons
    • 300 to 1000: 4 Awareness persons
    • 1000 or more: 8 Awareness persons
  • Requirements
    • High-visibility vests and fanny packs are mandatory
    • Information posters
    • Train all staff, especially bar staff
    • Last shift ends 1 hour after the event ends (walk-through, etc.)
  • from HTU rental
    • High-visibility vests + fanny packs
    • Posters/informational materials
    • Cup covers

100 people or more

without Alcohol

  • Event Size:
    • 100 to 300: 2 Awareness persons
    • 300 to 1000: 4 Awareness persons
    • 1000 or more: 8 Awareness persons
  • Requirements
    • High-visibility vests + fanny packs required
    • Posters/informational materials recommended
  • from HTU rental
    • High-visibility vests + fanny packs
    • Posters/informational materials (optional)
    • Cup covers (optional)

below 100 people

with Alcohol

  • Event type
    • “Standl”:
      • Same rules as for 100 or more people
    • internal event:
      • A sober person who must be identified
      • A high-visibility vest does not have to be worn

How to report

  • Think about what will happen at the event and what will be needed
  • There must always be at least one trained person from the Awa Pool
  • Are there good reasons why you want to do something differently? Write them down!
  • The concept must be drafted and sent to awareness@htugraz.at and finanzen@htugraz.at
  • Please reach out if you need help or advice. We don’t mean to punish you with this; rather, we want to make events as safe as possible for everyone.

General Information About Events ("Festln")

  • Awareness teams should always work in groups of at least two
  • The groups’ shifts should be scheduled to allow for breaks in between
  • The last shift ends after the event (approx. 1 hour)
  • Later shifts are more necessary than the first ones
  • Recommendation: One lead person for the entire event
  • Gender diversity is recommended (toilet patrols)
  • Awareness team members must be sober during their shift

Reporting an Incident

Any incident that occurs during an event must be documented by the Awareness Team. The ”Awareness Team Incident Report”  form is provided for this purpose (only in German). An anonymous reporting tool will also be made available in the future.
